About the Role:
At Mears, we provide accommodation and support services on behalf of the UK Government for people seeking international protection in the UK. We are committed to delivering safe, habitable and fit-for-purpose accommodation, while providing an excellent service to our customers and service users.
We are looking for an organised, customer-focused and adaptable Transport Co-ordinator to join our team.
This is a varied role where no two weeks are the same. Tasks and responsibilities are allocated and reviewed during weekly team meetings, with duties rotated across the team to ensure colleagues have the opportunity to develop their skills and experience across different areas of the service.
Depending on business requirements, your responsibilities may include managing shared inboxes, updating internal and Home Office systems and portals, supporting transport and logistics activities, completing planning and scheduling tasks, carrying out administrative and medical-related duties, and supporting other areas of the wider Co-ordination Team.
You will work closely with the Team Leader, regional teams and colleagues across Mears to ensure service needs are met efficiently, accurately and within agreed timescales.
Role Requirements:
Supporting colleagues and the wider team to deliver contractual requirements and excellent service.
Completing a variety of tasks allocated through weekly team meetings, with responsibilities rotated regularly across the team.
Managing and responding to shared inboxes and prioritising tasks appropriately.
Updating internal systems and external portals accurately and in a timely manner.
Supporting transport, logistics, driver planning, scheduling and co-ordination activities where required.
Supporting the allocation and movement of Service Users.
Maintaining accurate, consistent and up-to-date records and data.
Producing performance and service information when requested.
Identifying, escalating and supporting the resolution of risks, concerns and issues.
Working collaboratively with regional teams, internal colleagues and external organisations.
Ensuring safeguarding and welfare considerations are embedded within day-to-day processes.
Supporting complaint management and providing excellent customer service.
Managing your workload effectively and ensuring priority tasks are completed within required deadlines.
Providing support and cover for colleagues and other teams when required.
Working in line with Mears' policies, procedures, contractual requirements and Code of Conduct.
Key Criteria:
We're looking for someone who is highly organised, adaptable and comfortable managing a varied workload.
Good computer and IT skills, with confidence using Microsoft applications and internal systems.
Strong verbal and written communication skills.
A customer-focused approach and a commitment to delivering excellent service.
Good organisational and time-management skills.
The ability to prioritise workloads and manage competing deadlines.
The ability to work independently and use your own initiative.
A flexible approach to work and changing priorities.
The ability to work collaboratively with colleagues and external partners.
Confidence communicating with a wide range of people and understanding different cultures.
GCSE-level English and Maths, or equivalent.
Experience in transport co-ordination, logistics, driver planning, scheduling or transport operations would be an advantage. Experience in customer service, accommodation or property management, complaints handling or working with IT systems would also be beneficial.
